Tour Terms & Conditions

Please take a few moments to read the following Terms and Conditions regarding our guided tours:

TRAVEL DOCUMENTS: A valid passport is required. If you do not already have a passport, click here to contact the U.S. State Department to make application. Allow ample time for processing—you may need to pay for expedited service. Many destinations now require that your expiration date is at least six (6) months beyond departure return date.

TOUR COST: Client hereby acknowledges that the cost for each tour is quoted in U.S. dollars and based on an estimated conversion rate (US dollars to Euros) at the time the tour was quoted and advertised. Should the Euro conversion rate exceed the amount that was used for estimation purposes, Gateway Destinations, LLC reserves the right to adjust the tour cost. Any adjustment to the tour cost for which a client has made a reservation shall be for this reason only. Should an adjustment need to be made for this reason, Gateway Destinations shall inform the Client in writing at least 60 days prior to departure for the selected tour. Client shall have the option to cancel the tour in such case with all fees refunded except the reservation fee of $500. Full tour balance is due 60 days prior to departure of tour.

CANCELLATION BY CLIENT: Client hereby acknowledges that the reservation deposit of $500 is non-refundable and is forfeited if tour is cancelled by client for any reason. Fifty percent (50%), or $250, of the booking deposit, however, may be applied at the client’s written request to a future Gateway Destinations’ tour within one year of cancellation. If client cancels less than 60 days and up to 22 days prior to departure, 50% of the full cost of tour is forfeited. Cancellations by client for any reason less than 21 days prior to departure result in full cost of tour being forfeited due to commitments made on client’s behalf. CANCELLATION MUST BE MADE IN WRITING VIA U.S. MAIL, FACSIMILE OR E-MAIL, AND IS EFFECTIVE THE DATE RECEIVED AND ACKNOWLEDGED BY GATEWAY DESTINATIONS, LLC.

CANCELLATION BY GATEWAY DESTINATIONS: Gateway Destinations, LLC reserves the right to cancel this tour for any reason, and without limitation, including what is deemed to be a lack of participants.  (For those tours advertised with a Guaranteed Departure, however, Gateway Destinations will not cancel a tour due solely to a low number of participants registered). Should this occur, the client shall be notified immediately and all monies paid by client directly to Gateway Destinations for the cost of the tour (tour deposit and any subsequent tour fee payments) shall be refunded. Client understands that Gateway Destinations shall not be liable for and client releases Gateway Destinations from any other costs, damages, or refunds of any kind.  Client is responsible for ensuring that any flights (or any other form of transportation reserved to connect to the tour) be cancelled by them (whether they were booked by client or as a courtesy by Gateway Destinations). Client shall be responsible for any change or cancellation fee exceeding $100 charged by the airline, and Gateway Destinations shall reimburse client for any airline change or cancellation fee up to $100 in this case.

SUBSTITUTIONS: Client hereby understands and agrees that should Gateway Destinations, LLC find it necessary to substitute a good or service included in the itinerary, it reserves the right to do so at its sole discretion. A substitution of a similar quality shall be made.

EXCLUSIONS: The following expenses are not included in the cost of the tour and shall be paid for directly by the client: airfare (or other appropriate transportations costs) to and from the original point of departure and tour destination site, telephone calls, laundry and dry cleaning, room service, Internet service, alcoholic beverages not ordered by tour personnel, room service or meals not included in the itinerary, personal purchases, and transportation costs to OR from tour destination should client arrive late or leave the tour early and not travel with the group.

GENERAL: Gateway Destinations, LLC shall not be liable for the provision of goods or performance/delivery of service by others. If client terminates the tour early, no refund will be made and client will be required to inform Gateway Destinations in writing of such desire to terminate. Client understands that all transportation costs and penalties that may be charged by the airlines, etc., shall be the responsibility of the client. Client is responsible for all actions and for any accident or injury incurred by client. Gateway Destinations and its agents are not responsible for any acts of God or acts of war or terrorism, and client expressly agrees to hold Gateway Destinations harmless for any injury or disruption to the tour as a result of such act or any other matter.

INSURANCE: Gateway Destinations, LLC recommends that you purchase a travel protection plan to help protect you and your travel investment against the unexpected.  Travel protection plans can include coverage for trip cancellation, trip interruption, emergency medical and emergency evacuation/repatriation, trip delay, baggage delay and more.

Please note: To be eligible for the waiver of pre-existing medical condition exclusion, the protection plan must be purchased within 15 – 21 days* from the time you make your initial trip deposit.  However, the plan can be purchased any time prior to departure.

*Time frames for the waiver of pre-existing medical conditions are subject to the insurance plan selected.

USE OF PHOTOS OR VIDEOS: Client hereby grants approval of the use of photos or videos taken by Gateway Destination’s personnel during the tour for promotional purposes UNLESS client rescinds such approval in writing to Gateway Destinations prior to tour departure date. Such photos or videos will remain the property of Gateway Destinations, LLC.
